Catering and Bar Contract

Following much discussion and consultation it has been decided to proceed with offering the bar to the current caterer to form a new contract for both services and will take effect from 1 April.

It was agreed by the Council of Management in 2022 having taken advice from external consultants however never implemented. The current Board has taken the decision to offer the extended contract now for the following reasons:

1) To remove financial risk – the contract will be offered adopting the current levels of bar profit/retainer paid to cover bar staff wages – should profits fall then the club will not lose.
2) It will include an override that will allow the club to generate income calculated at 10% of any additional bar sales.
3) It will allow the club to “reclassify income” which would assist us should we choose to re-enter the CASC scheme.
4) It aligns with the retirement of Angela and the appointment of a new inhouse accountant. Not having responsibility for the bar will relieve the club of a significant responsibility and time cost – the handling of cash, reconciling the tills etc.
5) The awarding of the contract follows the advice of industry specialists, our arrangement is very unusual and would make any replacement of the current contractor difficult.
6) The current contract disincentivises the current contractor from engaging additional bar staff or offering promotions such as a “pie and a pint” as this is currently a cost to her.

The contract that is being offered includes the safeguards that are required to ensure that the members come first. There is provision for non-members to use the facilities (for which the club will be compensated) however any events will require the explicit agreement of the Captains Committee before they can proceed.
